What the limits actually count

This is where the surprises are, so it is worth being precise.

Active events — *non-archived* events are what counts. Archiving a finished event frees the slot without losing data. If you run a lot of short events the limit weighs far less than it looks: see Duplicating, archiving and deleting.

Contacts — how many are in your address book in total, regardless of events. It is a ceiling, not a consumption: it does not reset monthly.

Messages per month — how many individual emails you send in a calendar month. A campaign to 400 guests is 400 messages. This is the limit people hit first, and the only one that refills each month.

Campaigns per event — how many campaigns you can create on the same event. The limit exists for a practical reason: writing to the same guests six times is the quickest way to get reported as spam.

Keeping an eye on usage

The same page shows contacts and this month's messages against their ceilings. We notify you at 80% of a quota and again when it runs out: you do not have to remember to check.

If you run out of messages, campaigns stop going out until you move up a plan or the new month starts. The rest of the application keeps working.

Changing plan

From the change plan button, by picking the new column. The two directions behave differently:

  • Upgrade — immediate, with the difference billed pro-rata for the remaining period. New limits available straight away.
  • Downgrade — takes effect at the next renewal. Until then you keep your current plan's limits.

Before stepping down, check that you fit inside the new limits: archive the surplus events and, if need be, remove a team member or two.

Payment method and invoices

The manage payment method button opens the secure page of our payment provider: the card never passes through us and we do not store it.

Invoices are downloaded from the same page, at the bottom. Billing details — company name, VAT number, address — are edited there and apply from the next invoice onwards.

When a payment fails

The account goes past due and you see a warning banner. What that means in practice:

  • The account keeps working, sending included, while the bank retries.
  • A button appears to retry the payment immediately, once you have updated the card.
  • If the retries all fail, the subscription is cancelled and the account goes read-only.

The most common cause is not insufficient funds: it is corporate cards blocking recurring foreign payments. A phone call to the bank sorts it.

Cancelling the subscription

Cancelled from the same page. We ask why: it is a real question, we read the answers.

After cancelling, the account goes read-only:

  • You can log in, browse and export everything.
  • You cannot create or change anything, or send.
  • Data is kept for 90 days. Reactivate within that window and you find everything as it was. After that, it is deleted.
